Course Management

Navigating to Course Management in the Platform Administrator Unit

  • Select the Platform Administrator unit in your Nuventive Improvement Platform

  • Open the main menu with the “hamburger” icon

  • Open the Course Management category dropdown

  • From here, you can access the Course Management and Assign Courses menu items

  • Note: Your instance may use different naming conventions for category and menu items

Adding New Courses Manually

  • Open the Course Management menu item in the Course Management category dropdown

  • Select the plus sign icon at the top right of the page

  • Enter the Course Number and Course Name

  • If your new course will be assessed in the Nuventive Improvement Platform, you must select a unit in the Unit That Owns the Course dropdown field. Select the unit that this course belongs to for assessment purposes (this is the unit where outcomes, methods and results are added). Skip this step if you are not assessing courses.

  • Note: You can only select one unit to own the course for assessment

  • If your new course will be using the mapping feature in the Nuventive Improvement Platform, you must select a unit(s) in the Assign Course to Units table. Move the unit(s) from the left table to the right table using the arrows to assign that course to a unit(s).

  • Select the SAVE button at the top right of the page to complete the process

Adding New Courses by Spreadsheet

  • Open the Course Management menu item in the Course Management category dropdown

  • Select the three-dot ellipses next to the plus sign icon at the top right of the page and select Manage by Spreadsheet

  • A message box will appear with three options. When adding new courses, select the first option to Add/Update Courses.

  • Download the Example Spreadsheet through the hyperlink under the Add/Update Courses option

  • Open the Example Spreadsheet. Do not edit the column headers in row one. Take note of the example data provided in rows two through six. Replace it with your course data for both the CourseNumber and CourseName columns. You can leave the CourseDesc column blank as it will not display anywhere else on the platform or in reports. Save the spreadsheet to your computer (you may want to rename it and save it to your desktop to easily find).

  • Return to the platform and select CONTINUE with the first option selected

  • Select the CHOOSE SPREADSHEET button and upload your edited spreadsheet

  • Select the UPLOAD button at the top right of the page to complete the process

  • A message box will appear that lists the courses you just added. You can select the DOWNLOAD .XLSX button to download the spreadsheet (optional). Verify the list of courses, then select the OK button to continue.

  • A message box will appear that says, “Are you sure that you want to close the spreadsheet upload results?” Select CANCEL to return to the previous screen or CLOSE to continue.

Archiving Courses

In most cases it is recommended to archive a course rather than delete it from the platform. This keeps any associated data available for reference but removes the course from any reporting. Feel free to reach out to your Nuventive Consultant for other creative options on archiving courses.

  • Open the Course Management menu item in the Course Management category dropdown

  • You can search for the course you would like to archive in the Filter by Keyword area or scroll through the table of courses

  • Select the Course Number or the pencil edit icon to see the Edit Course screen

  • If your platform has an “Archived Courses” or “Deactivated Courses” unit, select that unit in the Unit that Owns the Course field

  • If your platform does not have an “Archived Courses” or “Deactivated Courses” unit, remove the Unit that Owns the Course by selecting the blank option from the dropdown menu (this should be the first option in the dropdown menu)

    • To add an “Archived Courses” or “Deactivated Courses” unit to your platform, please submit a request in Trello. Nuventive recommends utilizing an archived/deactivated courses unit to keep those courses together for easy reference and allow any data tied to those courses to remain accessible in the platform, including for analytics or printable reports.

  • In the Assign Course to Units area, remove any units in the right table by using the arrows in the center of the table

  • Select the SAVE button at the top right of the page to complete the process and archive the course

Deleting Courses Manually

  • Open the Course Management menu item in the Course Management category dropdown

  • Select the checkbox area next to the course(s) you want to delete

  • Select the three-dot ellipses on the top right of the page, then select Delete Selected Courses

  • A message box will appear, select CONTINUE to complete the process

Deleting Courses by Spreadsheet

Following these instructions will permanently delete the course(s) from the platform, including any of the associated course data and reporting. To archive the course instead and retain course data and reporting, please see the Archiving Courses section of this guide.

  • Open the Course Management menu item in the Course Management category dropdown

  • Select the three-dot ellipses next to the plus sign icon on the top right of the page and select Manage by Spreadsheet

  • A message box will appear with three options. Select the third option to Delete Courses.

  • Download the Example Spreadsheet through the hyperlink under the Delete Courses option

  • Open the Example Spreadsheet. Do not edit the column header in row one.

  • Add the course(s) you would like to be deleted to your spreadsheet. Save the spreadsheet to your computer (you may want to rename it and save it to your desktop to easily find).

  • Return to the platform and select CONTINUE with the third option selected

  • Select the CHOOSE SPREADSHEET button and upload your spreadsheet

  • Select the UPLOAD button at the top right of the page to complete the process

  • A message box will appear that says, “Are you sure that you want to close the spreadsheet upload results?” Select CLOSE to complete the process.

Assign/Give Ownership Manually From the Assign Courses Menu

  • Open the Assign Courses menu item in the Course Management category dropdown

  • Select the unit in the Choose a Unit field. You can also search in this field.

  • Select courses from the left table of Available Courses and move them to the right table of Assigned / Owned Courses with the ASSIGN and OWN buttons

    • ASSIGN: If your courses are using the mapping feature in the Nuventive Improvement platform, select the course(s) to assign to the unit.

    • OWN: If your courses are undergoing any assessments in the Nuventive Improvement Platform, select the course that should be owned by this unit for assessment purposes (the unit is where any assessments such as course outcomes, methods and results are added inside the platform).

    • Skip this step if you are not assessing courses in the platform.

  • Select the SAVE button at the top right of the page to complete

Assign/Give Ownership by Spreadsheet

  • Open the Course Management menu item in the Course Management category dropdown

  • Select the three-dot ellipses next to the plus sign icon on the top right of the page and select Manage by Spreadsheet

  • A message box will appear with three options. Select the second option to Assign/Give Ownership.

  • Download the Example Spreadsheet through the hyperlink under the Assign/Give Ownership option

  • Open the Example Spreadsheet. Do not edit the column headers in row one. Take note of the example data provided in rows two through six. Replace this example data with your course data in the same formatting for the CourseNumber, OwningUnit and AssignedUnit columns when applicable. Use multiple repeated rows if you are assigning one course to multiple units. Save the spreadsheet to your computer (you may want to rename it and save it to your desktop to easily find).

    • AssignedUnit: If your courses are using the mapping feature in the Nuventive Improvement platform, include the course(s) to assign to the unit under this column on the spreadsheet.

    • OwningUnit: If your courses are undergoing any assessments in the Nuventive Improvement Platform, include the course that should be owned by this unit for assessment purposes in the spreadsheet (the unit is where any assessments such as course outcomes, methods and results are added inside the platform).

    • Leave this column blank if you are not assessing courses in the platform.

  • Return to the platform and select CONTINUE with the second option selected

  • Select the CHOOSE SPREADSHEET button and upload your saved spreadsheet

  • Select the UPLOAD button at the top right of the page to complete the process

  • A message box will appear that says, “Are you sure that you want to close the spreadsheet upload results?” Select CLOSE to complete the process.
